Administrative Assistant II

Staff reception desk. Handle all incoming calls and emails for the Career Planning Center. Greet students and visitors to the office, and helps assess and meet their needs. Schedule appointments for career advising staff.

Provide primary administrative support for advising team (five professional staff) and back-up support to Director. Assist with program scheduling, logistics and tracking and follow-up with registrants.

Assist team in the day-to-day aspects and functioning of the office and programs, including signature events like the annual Etiquette Dinner. Manage office kitchen, print subscriptions, dining passes, and interview room reservations and computer and video equipment.

Assist with administration of Funded Internship application process, interview scheduling and grant administration including student report tracking.

Manage scheduling of mock interviews, coordinating with students and mock interviewers for one-on-one appointments and group events.


Required: High school diploma or GED; Associate's Degree or two years of college coursework preferred. Also required: Excellent oral and strong written communication skills; Professional and personable phone manner and ability to manage phone system; Strong customer service skills in high traffic, front line position; Project management skills and attention to detail essential. Ability to use scheduling software, databases, word processing programs and social media; Knowledge of WordPress a plus. Ability to work independently with minimal supervision; A desire to work with young adults in a friendly, supportive manner.

Required: minimum of 2 years of office/administrative experience, preferably in a higher education setting.
