Administrative Support

Serve as administrative coordinator and office manager of the Lewis Global Studies Center: Coordinate the administrative support for events and special programs of the Lewis Center; supervise student workers as front desk receptionists and event support staff; provide oversight of Lewis Center communications, including the website presence, outreach to other campus administrative offices and regular event promotion and publications of the Center; provide executive assistant support to the co-directors of the Center-the Dean for International Study and the Eveillard Faculty Director.

Administrative Coordinator: Provide coordination and administrative support for programs, events, and workshops of the Lewis Center. Programs may include but are not limited to including Global FLEX faculty-led travel, the Translation Studies Concentration, Global Salons, Projects for Peace, and the annual symposium. Work with program staff and participating faculty to organize information sessions, activities, and general support for the program events. Coordinate with other departments and programs on campus as appropriate and assist with college-wide events as necessary.

Office Manager: Manage the day-to-day operations and coordinate the workflow of the Lewis Center. Respond to inquiries from faculty, staff, students, and the general public. Maintain usage schedules for the Lewis Center, including the lounge and conference room. Oversee general maintenance of the space, coordinating facilities management with the affiliated offices and budget coordinator. Manage Lewis Center communications, including dissemination of event notices; serve as webmaster for the Lewis Center website. Oversee production of publicity and recruitment materials, including graphic design of event flyers and posters. Hire, train and supervise student workers. Serve as back-up to the Student Programming and Support Coordinator.

Administrative Assistant: Schedule and take minutes at regular Lewis Center meetings as requested by the co-directors; distribute agenda and minutes as assigned, prepare correspondence and documentation of agenda items. Coordinate schedules and calendars of the Directors, and provide administrative support for projects and campus meetings as needed. Monitor and support budget expenditures for Lewis Center operating budget. Monitor and assist in documentation needed for international legal compliance and risk management, including tracking of the Horizons' Travel Registry for short-term travel. Generate reports and program materials as needed by the Directors.

Education/Experience: Associates degree plus three-to-five years of program coordination experience, with preference for experience in an international or multicultural work environment. B.A. preferred.

Skills: Demonstrated ability to organize and prioritize work effectively, manage multiple tasks/projects simultaneously, solve problems in coordination with multiple stakeholders, and work sympathetically with students, faculty, and staff. Excellent verbal and written communication skills. Experience with budget administration, with excellent attention to detail and organized record-keeping. Website maintenance, graphic design, and publicity management is a critical requirement for the position, along with facility with Microsoft Word, Excel, and content database systems (such as Banner). Desktop publishing skills are desired. Effective training and supervision skills for work with student staff with limited office experience.
