Billing & Scholarship Specialist

The Billing & Scholarship Specialist will manage all aspects of billing and financial aid for School of Professional Studies programming. The Specialist will be responsible for managing the Dean's Scholarship program including oversight of scholarship budget, and management of disbursement process utilizing Salesforce, Banner, and Google Applications. This position will also be responsible for managing processes related to the Executive Programs Scholarships including but not limited to scholarship applicant tracking, award letter production, and award disbursement for Executive Programs. This position will also be the primary liaison with the Registrar's Office (RO) and the Student Veterans Program Office, tracking certificate of eligibility submissions from EM students, working with the RO on eligibility calculations and notifications to students, as well as posting Veterans Benefits for the Executive Programs population. The Billing & Scholarship Specialist position will be responsible for student billing and receivables as well as refunds for all SPS programs. It will also serve as the direct point of contact for processing all incoming funds to the department. The Billing & Scholarship Specialist will be the first point of contact for the Bursar's Office, Cashier's Office, Office of Financial Aid and will work with Senior Leadership, Operations Directors and SPS Financial Analyst to support fee setting for Pre-College programs and will work with the Enrollment & Reporting team to update fee assessment and billing setup in all SPS systems including Banner and Salesforce. This position provides high-level customer service to all students, parents and staff and is responsible for managing both the [email protected] and [email protected] departmental email accounts.

Major Responsibilities include:

- Manage Dean's Scholarship Award process and budget for Pre-College Programs. Oversee summer grant process for Brown Undergrads enrolled in Summer Session.

- Manage student billing for Pre-College & Summer Session

- Process refunds for all SPS programs including Pre-College and Visiting Student Program

- Executive Programs Billing & Financial Aid primary liaison and SPS subject matter expert

- Other Finance & Operations team support as needed

Please Note: Pre-College Check-in's/Orientations occur on Sundays throughout the summer. This position is expected to cover the Finance/Billing Inquiry service station at least 3-4 Sundays per summer.


- Bachelor's Degree and 1-3 years of relevant experience, or the equivalent combination of education and experience

- Prior accounting experience preferred; ability to work with numbers and to perform basic accounting-related tasks

- Experience working with budgets, data analysis preferred

- Outstanding organizational skills and ability to do detail-oriented work

- Excellent customer relations skills, previous customer service experience and verbal/written communication skills to interact with an infinitely varied customer base and many outside agencies, bank, businesses, parents and students

- PC skills (keyboard and data entry experience, speed and accuracy required), strong knowledge of Excel and Word, and an ability and willingness to adapt to rapidly changing technologies

- Working knowledge of (or ability to learn) Salesforce, Banner, Cognos, TouchNet and Google Apps for Education

- Ability to troubleshoot in a high-volume, changing work environment.

- Ability to work across organizational units on campus.

- Ability to effectively manage multiple projects/ deadlines simultaneously while collaborating with others.

- Excellent judgment; experience handling highly confidential data.
