Customer Service Representative

Position Information

Under the general direction of the Office Manager, the incumbent is primarily responsible for the processing of mail, online, grant and contract enrollments. The Customer Service Representative is primarily responsible for providing superior customer service related to all Extension clientele. This includes professional interaction with instructors, students, staff and the public. The incumbent will be responsible for dealing with the public via a multi-line phone system, mail, email and in person inquiries at the front desk. Perform a variety of duties in the Student Services front office in assisting customers and providing administrative support in a fast-paced environment involving heavy phone volume and walk-in customer traffic.

Hours of operation are M-F 7:30am - 7:00pm, and Sat 7:30am - 1:30pm. Incumbent must have be available to work during all hours of operation.

Minimum Requirements

Experience providing exceptional customer service.

Experience with cash and credit card processing.

Excellent written, verbal, and interpersonal skills, including active listening skills.

The ability to interpret and clearly explain policies and procedures to both students and staff.

Ability to provide exceptional and accurate guidance to clientele in person, over the phone, and in writing.

Demonstrated ability and willingness to take ownership of accuracy and attention to detail.

Must be highly organized with the ability to prioritize multiple demands with multiple timelines with frequent interruptions.

Demonstrated experience dealing with a diverse constituency including limited English speakers.

Experience troubleshooting basic online and web-based student systems, such as online registration and LMS interactions.

Ability to communicate and work effectively as a member of a student-focused support team.

Preferred Qualifications

Experience with FERPA (Family Education Rights and Privacy Act).

Experience with University of California (UC) policies and procedures.

Bilingual Spanish.

Experience with Destiny One Student Information System.
