Director of Facilities and Operations

Director of Facilities and Operations

Position Summary:

The Director of Facilities and Operations serves as the principal facilities and operations officer of the School at Columbia University ["The School"]. Reporting to the Head of School, the Director provides direct oversight and strategic planning for all needs and processes related to The School's 90,000-square-foot facility and the noncurricular operations within the facility. The Director ensures compliance with various University policies and governmental regulations. The Director looks for opportunities to improve service, and then develops, monitors, and assists in change implementation. The Director collaborates closely with the senior administrative team, teachers, and staff of The School, as well as with colleagues in various central University departments. The Director will model and foster high ethical standards, integrity, and respect for colleagues, alumni/ae, families, and students in the conduct of The School's business.

Characteristics and Responsibilities:

1. Buildings and Grounds: Oversees the physical operation of the entire school and its programs. Acts as the chief project manager for all building-related projects and initiatives. Manages the day-to-day operation of the facility and leads the interaction between The School, the Residential Operations and Capital Projects building staff, and outside service providers. Serves as The School's representative working with Facilities Management for design and construction projects and the careful maintenance of buildings and grounds and cleaning programs that keep The School's appearance in exemplary condition.

2. Continuous Process Improvement: Meets with facility and operations directors of other independent schools to develop and foster relationships. Manages to completion service requests from teachers and administrators. Facilitates the procurement process in relation to renovation and construction projects within The School, service requests, and purchases made toward the improvement of day-to-day operations of The School. Manages and records all elements of building management and the year-round maintenance and good repair of the facility. Ensures facility readiness for day-to-day events as well as all special events. Oversees the work of all outside contractors to ensure compliance with contractual agreements and budgetary restrictions.

3. Strategic Planning: Executes the review of The School's curricular, extracurricular, and community-based programming on an annual basis and consults on the design of new facilities and/or operations as needs emerge. Partners with the Head of School and the senior administrative team to keep the Oversight Council and the Provost's Office abreast of all program issues, accomplishments, and new needs. Manages, in collaboration with the Director of Finance and Budget, the development and implementation of the financial aspects of facilities upgrades driven by the strategic planning process and for providing day-to-day fiscal management of the Office. Develops and implements an ongoing facility and equipment replacement program. Supports the Head of School in exploring additional space usage to support the mission of The School.

4. Risk Management: Active member of The School's Risk Management Committee in efforts to fulfill the mission of The School in a safe and healthy environment for all members of The School's community. Identifies exposures with a proactive risk analysis approach utilizing continual risk identification, surveys and data collection, and personal meetings with teachers, staff, and other stakeholders. Works closely with the Director of Security and Safety to support the safety at The School and assist in the review and execution of The School's crisis management plan.

5. Food Service: Serves as liaison between the dining services provider and School administration to facilitate the food service provided to The School community. Range of duties will include, but are not limited to, equipment maintenance, ordering of supplies, billing review and contract agreements, and supporting and facilitating all sustainability and composting initiatives.

6. Rental Space: Works with Columbia University and outside vendors to appropriately secure rental space and agreements for needs outside of the current facility. The Director of Facilities also will manage the rental space agreements for use of The School by outside groups and vendors.

7. Is an active member of The School's Leadership Team. This includes attending regular meetings and supporting and developing strategic plans for The School and the work of the senior administrative team.

8. Supervisory: The Director will manage, mentor, and develop direct reports, providing constructive and timely feedback. The Director will directly supervise activities of the Facilities Coordinator.

9. Is an active member of The School community including, but not limited to, participating in off-site training for employees and participating in activities including assemblies, field trips, and lunch and supervision coverage.

10. Additional duties as assigned.

Minimum Qualifications:

1. BA degree required and at least 7 years of experience

2. Proven ability to manage and lead staff in a changing environment. Effective communication/presentation skills and proven record of forming collaborative and effective working relationships. Ability to establish realistic and achievable priorities and the ability to lead staff to achieve The School's goals and objectives.

3. Technologically competent, e.g., with Google Docs

4. Experience with blueprints and building specifications

5. Detail-oriented

6. Able to work collaboratively with a team

Preferred Qualifications:

1. Bachelor's degree in engineering, construction management, or related discipline

2. Master's degree

3. Experience in a supervisory/management role in construction, maintenance/repair; working knowledge of at least three trades is required (maintenance, plumbing, electrical, HVAC systems, carpentry, construction)
