Director of Operations - Five Colleges, Incorporated

This is a new position in the Five College Consortium (FCI). The inaugural Director of Operations is expected to work with the Executive Director during a period of transition and evolution for the Consortium, helping to build internal structures, procedures, and policies to support the effective and efficient functioning of Five Colleges, Inc., enhancing the ability of FCI to serve the five constituent campuses. The Director of Operations (DO) is responsible for the smooth day-to-day functioning of Five Colleges, Inc., including overseeing the essential administrative services on which FCI relies, including human resources and the facilities and records of the Consortium. The DO serves as a member of the Executive Director's leadership team and as assistant treasurer of FCI.

The Director of Operations will:

  • Be responsible for ensuring the smooth daily internal operations of Five Colleges, Inc., including assessing, revising, and building operational plans.
  • Maintain records of FCI-involved contracts and MOUs.
  • Oversee the FCI website, in coordination with the other senior staff of FCI.
  • Coordinate FCI emergency preparedness and continuity of operations planning.

As a member of the senior leadership team of FCI, the Director of Operations will:

  • Contribute to the overall management and leadership of the Consortium, including goal setting and strategic planning.
  • Serve as staff liaison as assigned by the Executive Director to various administrative committees of the Consortium, including the Emergency Preparedness Committee, human resources directors, facilities directors, and other groups as assigned.
  • Undertake other duties as assigned by the Executive Director.

As the head of FCI human resources, the Director of Operations will:

  • Manage human resource functions as well as relationships with HR consultants; including collaboration with colleagues at Five College institutions.
  • Maintain up-to-date records of FCI policies, including the employee handbook.
  • Manage a cross-training plan and skills development of staff, ensuring coverage of critical tasks during absences.
  • Support the campuses in spousal/partner hiring activities.

As facilities manager, the Director of Operations will:

  • Manage the operations of FCI facilities, including 97 Spring Street on the Amherst College campus, and the Library Depository Annex in Hatfield, MA, and manage agreements for Five College space on the five campuses.
  • Supervise building maintenance and renovation projects in FCI facilities.
  • Administer security (keys), parking, and required licensures/certifications for FCI personnel (e.g., lift certification for staff working in the Annex).
  • Serve as a Manager of Five College Net, a subsidiary of FCI (upon appointment by the Board of Directors).

As assistant treasurer, the Director of Operations will:

  • Support the Treasurer in and provide backup for Business Office functions, as needed.
  • Coordinate with the Treasurer in managing financial aspects of human resources, such as leave reporting, benefits management, and ensuring the compliant payment of foreign nationals.
  • Serve as Assistant Treasurer of FCI upon election by the directors of FCI

Minimum Qualifications:

  • Bachelor's Degree or equivalent
  • Minimum of five to seven years' post-baccalaureate experience, with increased responsibility over time
  • Experience creating business processes and/or managing institutional change, and a willingness to participate in and contribute to an evolving organization
  • Demonstrated supervisory skills
  • Demonstrated budget management skills
  • Demonstrated skill in using productivity technologies, learning new tools, and incorporating these tools into office practices.
  • Excellent oral and written communication skills
  • Ability to multi-task and to prioritize
  • Ability to represent the Executive Director and FCI with current and potential colleagues, including the judgment to determine when to act independently and when to consult or refer
  • Ability to operate in a rapidly evolving environment while maintaining good humor

Preferred Qualifications:

  • Post-baccalaureate degree
  • Experience working in higher education
  • Experience working in a non-profit organization
  • Certification or experience in human resources management
  • Education or experience in accounting, finance, or business
