Executive Assistant

Provide a wide range of highly-skilled administrative and executive assistance for the Executive Vice President (EVP) for Finance and Administration. Anticipate the daily needs of the EVP; work independently in an environment of multiple and sometimes conflicting priorities; and anticipate and resolve a wide variety of issues. Work with confidential material with tact and discretion, and maintain accurate and organized paper and electronic files. Act as an administrative generalist with the flexibility and ability to support a variety of leadership styles and subject matter areas. Assist the EVP to connect and collaborate with other senior leaders within the Smith community.

Schedule and coordinate appointments and complex meetings for the EVP; be knowledgeable about and involved in EVP's daily schedule; make appropriate meeting preparations (provide background briefings/materials, reserve rooms, order catering); take notes at meetings; and attend meetings/workshops/orientations. May also be called upon to help arrange large, complex meetings for other team members. Provide support work for daily activities, follow-up on action needed after meetings, be conversant with full scope of EVP's responsibilities. This role includes high-level coordination and support to the individuals and areas which report to the EVP, including assistance with searches and other special projects. Work in conjunction with the EVP and the Manager of Strategic Projects and Communications to assess the priority of activities for the EVP.

Organize events, including staff meetings and other collaborative functions, and be responsible for all communications and logistics related to these events.

Make travel arrangements and prepare expense reports for the EVP. Maintain relevant financial systems and assist with ordering supplies, reviewing card purchases, and processing expense reimbursements.

Assist with drafting and/or proofreading presentations, memos, email and other communications. Write and send departmental announcements, maintain current departmental staff lists, and assist the EVP with general email management.

Education/Experience: Bachelor's degree plus five to seven years of administrative or related support experience in a dynamic environment or an equivalent combination of education/experience.

Skills: Superior organizational skills and attention to detail. Excellent communication (interpersonal, verbal, written), analytical and problem-solving skills. Must have proven ability to initiate and manage multiple tasks under competing deadlines and shifting priorities. Must be able to appropriately prioritize workload, as well as demonstrate flexibility and poise when responding to unanticipated events. Must possess high levels of professionalism and discretion in handling confidential and sensitive material/information. Must be an energetic, flexible and independent worker with a propensity toward highly-varied administrative work. Must be able to act both independently and collaboratively. A commitment to and proven success working collaboratively with individuals from diverse backgrounds and perspectives is essential. Very strong proficiency with Google and MS Office applications, as well comfort working with and learning new technologies learning agility, capacity, and desire to understand technology and business needs across the organization.
