Financial Services and Payroll Specialist

Position Information

Reporting to the Strategic Executive Administrative Team (SEAT) Director of Business Operations, the Financial Services and Payroll Specialist provides executive level administrative support in financial services and payroll to the Chancellor's organization, Provost & Executive Vice Chancellor's organization, Vice Chancellor for Planning and Budget organization, and any other organizations as determined by the Chancellor and Provost/EVC. This position independently processes financial transactions including purchasing, travel & entertainment reimbursements; arranges travel, orders supplies for the office, and processes on-line orders for communications, fleet, printing and physical plant. This position will also serve as the designated organization payroll requester and reviewer in submitting payroll service requests and reconciling payroll transactions. Responsible for maintaining the document management systems. The incumbent will provide recruitment and on-boarding support. Provides support for the front-desk/reception area, including answering phones and arranging office meetings; serves as the student assistants' supervisor; serves as the focal point for all incoming correspondence. Assists on special projects as assigned, including PowerPoint presentations; and proofreads/edits documents. A pre-employment assessment will be conducted as part of the recruitment process. The position is budgeted up to $60,000 depending on the qualifications of the selected candidate.

Minimum Requirements

Strong knowledge of financial data management and reporting systems.
Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
Skills to provide coaching and mentoring to support staff.
Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, organizational skills, effective verbal and written communication skills, sound judgment and decision making.
Working knowledge of financial processes, policies and procedures.
Proficiency in the use of spreadsheet and database software.
Ability to function effectively as a member of a team.
Ability to adapt to changing priorities.
Strong service orientation.
Ability to use high-level discretion and maintain a high level of confidentiality.

Preferred Qualifications

Experience with UCR Financial System (UCRFS) applications (PeopleSoft, iTravel, ePay, web recharge, etc.).

Working knowledge of University administrative policies and procedures.
