Job Description:

The Enrollment Services (ES) Integrated Processing Operation is designed to integrate processing services throughout the student enrollment process. An ES Integrated Processing Specialist reports to the Director of the Integrated Processing or other Department Administrator and performs a variety of responsibilities related to Enrollment Services at Columbus State Community College. Integrated Processing serves as the enrollment processing hub for the College.

Integrated Processing Specialists evaluate documents and execute processes which support the functions of admissions, financial aid, and registration-related duties, with a focus on one area with the opportunity to be cross-trained for potential advancement.

Duties are numbered for convenience, and do not indicate order in terms of importance, frequency that the duty is performed, or the amount of time spent on the duty.

1. Processes documents and enters data into the Colleague Student Information System and the Federal Financial Aid Processing System. Follows federal and State regulations and college practices and guidelines to insure institutional compliance.

2. Certifies student eligibility regarding citizenship, selective service registration and veteran's status, federal loan aggregate, defaults, and bankruptcy, social security number, educational purpose, program of study, and academic progress.

3. Verifies financial data reported on the student's financial aid applications including the Free Application for Federal Student Aid (FAFSA). Reviews tax and other documents to determine annual income and verifies student and parent household and asset information.

4. Determines financial need using college and federal information. Awards federal, state, and institutional funds. Revises awards based on change of eligibility and student requests. Reviews appeals based change of financial and academic information. Assists with the identification and processing of potential fraud issues regarding federal financial aid funding.

5. Reports updated and corrected student data to the Federal Processor and Loan Servicers. Processes reports from the Department of Education regarding a student's FAFSA information, loan eligibility, and previous enrollment. Assists with the reconciliation of federal awarding and funding.

6. Coordinates the tuition refund request/appeals process, fresh start process, administrative withdrawal/appeals process, grade change process, transcript request process, high school transcript evaluation process, High School/GED Self-Report process, duplicate records process, Informed Consent process and Directory Information Withheld process.

7. Processes high school and college transcripts, enrollment and graduation verifications, Dean's List letters, transfer recommendations, grades and records updates, high school articulation updates, prior learning assessments, schedules, and other record information.

8. Communicates with students and parents regarding admissions and financial aid eligibility, required documentation, award revisions, academic records, and appeal decisions.

9. Interfaces with Columbus State departments, Ohio Department of Higher Education, State of Ohio, Job and Family Services, National Student Clearinghouse, higher education institutions, high schools, and other community entities.

10. Maintains data and statistics of student record information.

11. Maintains confidentiality of student records in accordance with the Family Educational Rights and Privacy and Higher Education Acts; maintains confidentiality with student health records and other information.

12. Maintains student records via the Student Information System, Document Management Imaging System, and electronic databases.Works assigned schedule, exhibits regular and predictable attendance and works outside of normal schedule as needed to meet workload demands.

13. Performs other related duties as required.

Usual Physical Demands: The incumbent of this position typically exhibits the physical demands identified in the Functional Job Analysis on file in the College's Human Resources Department and which is periodically reviewed and updated. Physical demands listed in the Functional Job Analysis are not job qualification standards, but are used to help the College assess and determine reasonable accommodations for otherwise qualified individuals covered by the American's with Disabilities Act.

While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee frequently sits for extended periods of time, and occasionally stands and walks. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to 10 pounds.

Minimum Qualifications:

High School Diploma or GED. Employee typically gains the necessary level of expertise by demonstrating job competency acquired through on-the-job training, development, and experience with Columbus State. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
