Senior Administrative Assistant to the Vice President and Dean of Admission and Financial Aid

Responsibilities include monitoring the daily and ongoing operations of a division or function. Serves as a lead with other support staff within the division. Responsible for developing work procedures and training others. Responsible for distributing work to others, maintaining quality control and ensuring deadlines are met.

Specific accountabilities include: greet visitors for VP/Dean and contribute to a welcoming environment; contribute to efficient execution of administrative procedures and processes central to the division/function; respond in a timely manner to requests for information and refer to other resources as appropriate; manage calendars, itineraries, contacts and correspondence for VP/Dean; coordinate, when directed, to assist with researching services and pricing, processing quotes, creating PO's and requisitions and submitting for timely payment. Accuracy and professionalism is expected for all assigned tasks.

When directed, assist VP/Dean with divisional records, researching information, analyzing data, editing and formatting documents and presentations, and preparing standard reports.

As directed, work with materials and presentations for travel-related events.

Responsible for planning and execution of internal staff events and functions.

When directed, assist VP/Dean with monitoring special funds.

Responsible for building and/or room scheduling and service requests for staff events, as required.

May be responsible for timely, accurate and efficient execution of other responsibilities which may include conducting research, support for oral and written communication projects, committees and other work unique to the department, division or function, as assigned. A minimum of an Associate's degree is required. A Bachelor's degree is preferred, or a combination of education and experience from which comparable skills are attained.

Professional Experience/Qualifications
- A minimum of three years of administrative experience with progressive responsibilities is required.
- A detail-oriented approach is required.
- Flexibility and the ability to manage multiple tasks and priorities is crucial.
- Solid skills and experience with Microsoft Office Suite as well as the ability to cull and consolidate data for reports.
- Excellent verbal and written communication skills and a high regard for detail are required.
- Capable of maintaining confidentiality when working with sensitive documents and information.
- Strong customer service experience and the ability to professionally coordinate with multiple stakeholders including athletic coaches, alumni, board members, Board of Trustee and Cabinet members is critical.
- Prior experience with travel logistics and appointment scheduling.
- Strong aptitude for seeking out higher education and admissions industry knowledge, as well as Colgate University organizational, systems and process knowledge.
- Must be capable of working collegially with diverse groups of faculty, staff, students and community members.
