Job Description:

The successful candidate will operate across many projects/initiatives and will be responsible for delivering results with a team of individuals. This role will operate at a detailed level so having a level project management and attention to detail will be key. This role will be responsible for identifying and standardizing operational processes to improve the quality and timeliness of those processes. This role will be key to building a team environment within Workforce Innovation and will need to balance competing demands while delivering the best experience for our students.

· Fiscal Oversight

o Interface with internal/external customers as needed

o Set up course sections for billing

o Coordinate customer sponsorships and tuition reimbursement follow up

o Generate invoices in Colleague and Access DB (Accounts Receivable)

o Assist with budget versus actual development (annual, mid-year, project, etc.)

§ Monitor expenditures and create finical reports (P&L, drill into expense categories to understand/explain variances)

§ Project funding needs and initiate budget realignments/transfers as needed

§ Initiate purchasing requisitions

§ Follow purchasing guidelines/thresholds

§ Review monthly/bimonthly reports for variances and follow up accordingly

§ Process capital equipment requests

§ Code and process invoices (Accounts Payable)

o Generate, process, and track instructor LOAs

o Ensure client information has been entered into Colleague/Salesforce

o Attend meetings on behalf of the department

o Develop good working relationship with other departments

· Supervision of Specialists

o Orient new employees

o Train specialists on current and new duties

o Manage team availability and align tasks with availability and skills

o Resolve work-related problems

o Provide assistance/back-up where needed

o Monitor specialist performance and backlog of activities

o Ensure specialists have resources they require

o Evaluate specialists on annual basis

o Develop professional growth opportunities

o Recommend pay increases

o Approve leave requests and weekly time reports

· Record Retention

o Ensure compliance with record retention program

o Implement OnBase Document Management System

o Dispose of documents per Columbus State policy

Vision demands include close, detailed vision when focusing on computer screen. Employee occasionally lifts or exerts force up to 10 pounds.

Minimum Qualifications:

Associate's Degree in a closely related field of study, at least three years related experience, and prior supervisory experience. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
