Position Information

Under the general direction of the Title IX Director, this position is responsible for the administrative support functions and front desk management of the Title IX Office.
This position provides high level administrative support in this fast paced environment to the Title IX Director, Assistant Coordinator, Title IX Investigators, Response Team Coordinator, and other Title IX staff members. This position has a direct influence on the first impression and reputation of the Title IX Office, and must be poised, tactful, and diplomatic during interactions with a diverse population of students, faculty, staff, administrators, and external community, as well as exhibit excellent work habits. This position serves as the focal point for incoming communications and answers phone lines, screens and directs calls as appropriate, and responds to a wide variety of inquiries and questions using appropriate diplomacy and sensitivity. Provides administrative support for planning, organizing, and staffing training, programs, and events. Utilizes a comprehensive database system to record, track, and retrieve cases information. Must be able to work under the pressure of constantly changing priorities, unanticipated urgent demands, and multiple tasks. The Title IX Assistant, who must be detailed and thorough, works with minimum supervision and takes initiative to organize and prioritize a heavy and diverse workload to meet stringent deadlines. Maintains strict confidentiality, discretion, and good judgment.



Minimum Requirements

1. Four (4) years of related experience performing administrative support for executives or in a fast paced environment.

2. Demonstrated ability to work independently; independently research answers to questions and make appropriate contacts of information and resolution of pertinent issues, organize workload with close attention to detail, produce thorough and accurate work products, manage multiple tasks and timelines and make appropriate decisions following campus policies and procedures.

3. Demonstrated ability to work in a fast paced environment with the ability to provide high-level administrative support, multi-task and prioritize.

4. Demonstrated high level of communication skills, both orally and in writing, including the ability to compose legal correspondence thoroughly and accurately, and review and edit documents for grammatical, spelling and punctuation errors.

5. Demonstrated knowledge and ability to utilize various software applications such as Advocate GME, Word, Excel, Outlook, PowerPoint, and Internet Explorer with high degree of accuracy and speed.

6. Excellent interpersonal skills including verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills to establish and maintain professional relationships with students, staff, faculty, campus administrators system-wide and visitors to the campus community. Ability to use tact, confidentiality and diplomacy.

7. Demonstrated ability to maintain confidentiality at all times in a highly confidential office, and excellent oral communication skills to accurately convey sensitive/confidential information to students, staff, faculty, campus and system-wide administrators, and visitors to the campus community.

8. Demonstrated ability to function independently and organize workload with close attention to detail; able to produce thorough and accurate work products; manage multiple tasks and timelines; make appropriate decisions following campus policies and procedures.

9. Must be organized, detail-oriented, responsive and possess excellent follow through skills even when managing multiple interruptions in a dynamic environment.

10. Demonstrated ability to interact and work effectively as a team player.



Preferred Qualifications

1. Education and/or experience equivalent to a bachelor's degree in Psychology, Social Work, Counseling, Criminal Justice, or a related field. Or a Paralegal Certification.

2. Knowledge of and experience in a University environment, UC experience or law firm experience.

3. Demonstrated experience with UCR web-based systems, i.e., ePay, iTravel and Web Recharge.

4. Responsibility for special projects, supporting staff and/or faculty and/or managing a triage role in a fast-paced environment.

5. Demonstrated experience with UCR web-based systems, i.e., ePay, iTravel, Web Recharge and Advocate GME.
