About VP Business Affairs

The Division of Business Affairs oversees many elements of doing business at UTEP, including human resources, the budget office, and accounting and financial services. In addition, the VPBA Office manages business contracts and agreements, institutional memberships, the University's risk management/insurance program, and the open records process. Our goal is to support the University's teaching, research and public service mission by providing superior services to the campus community.

The Office of Special Events

The Office of Special Events is dedicated to providing quality entertainment for UTEP and the El Paso/Juarez/Las Cruces communities.

Position Information

Hiring Department: The Office of Special Events

Posting End Date: Open until filled.

Hours:40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends.

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $35,568 annually.

This position is security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.



Purpose of Position

Summary:Applies principles of accounting to analyze financial information, prepare adjusting entries, reconciliation's, and financial reports.



Note:This position is security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. Must possess a valid driver's license issued by the State where the applicant resides and must be insurable as defined in the UT System UTS 157, as applicable to the performance of essential duties and responsibilities of the position.



Statement of Duties and Responsibilities:



Compiles and analyzes financial information to prepare entries to accounts in the University's general ledger.



Allocates expenditures, encumbrances, receipts, receivables, etc. based on reports and schedules.



Performs statistical analyses to determine trends, estimates, and the impact of significant changes to accounting policy. Prepares narrative reports that explain findings and recommendations.



Analyzes financial information detailing assets, liabilities, and capital. Prepares reports that summarize and interpret current and projected financial position for management.



Audits contracts, orders, and vouchers and prepares reports to substantiate individual transactions prior to settlement.



Reviews, investigates, and corrects errors and inconsistencies in financial entries documents and reports.



Determines proper handling of financial transactions.



Monitors compliance with generally accepted accounting principles and University policy and procedures.



Assists periodically in the preparation of the Annual Financial Report, Operating Budget, and Legislative Appropriation Request.



Assists with various special projects as needed.



Knowledge of all Microsoft Office software and able to learn and use institutional software systems.



Complies with all State and University policies.



Manage invoicing and financial reporting for all activities and events.



Ensure accurate tracking of financial activity, including reconciliation and conciliation of accounts.



Perform forecasts, projections, and budgeting.



Maintain checks and balances to ensure financial accuracy and compliance.



Stay organized and detail-oriented to support financial transparency across departments.



Other duties may be assigned.

Qualifications

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum Education required:Bachelor's degree in accounting or finance preferred, but open to Business Administration degree with 15 credit hours in accounting from four-year College or university.



Minimum Experience required: No prior experience required.



Preferred Qualifications: Experience with PeopleSoft. Experience with purchasing management systems.



Other Requirements: Proficient in Excel, including VLOOKUP and Pivot Tables.
