Job Summary
ECTC is seeking an Administrative Assistant II to provide administrative support and customer service for the Upward Bound Math and Science (UBMS) program and the Advanced Manufacturing Accelerator Project (AMAP).
Job Duties:
Responsibilities will include but are not limited to:
• Supports a professional office environment of efficiency, customer service and clerical support for both UBMS & AMAP staff including requisitions, supply requests, and travel documents.
• Responsible for the preparation of grant reports, quarterly and annual performance reports, and monthly budget reconciliation for UBMS & AMAP.
• Responsible for maintaining, updating, and creating content for all social media accounts and websites for UBMS & AMAP.
• Engages in professional development to enhance job performance and growth
UBMS
• Performs data entry for the UBMS Blumen database ensuring accuracy and timeliness of entries in relation to the goals, objectives, and activities of the program documents.
• Calls prospective and current participants in program to complete enrollment, update student files and communicate events in the program.
• Creates and maintains an accurate and comprehensive file system which protects the privacy of program participants and their files to ensure compliance with the College and the U.S. Department of Education.
AMAP
• Assembles, collects, and reports data useful for program evaluation and assists the Director in completing an annual report.
• Performs data entry for the AMAP ensuring accuracy and timeliness of data requests in relation to the goals, objectives, and activities of the program: creating student files, regularly updating student files, assists in the preparation of reports, and consistently maintaining accurate and updated program documents.
• Creates and maintains an accurate and comprehensive file system that protects the privacy of students and their files to ensure compliance with the College and the U.S. Department of Education.
Minimum Qualifications:
Education: High School Diploma and 3 years of experience, or equivalent (Associate Degree and 1 year of experience).
