Job Summary

The Faculty Support Services (FSS) department at Harvard Law School is a large and dynamic department, responsible for the hiring, training, and management of 50+ faculty assistants, and assists 125+ faculty and 50-90 visiting professors and lecturers with their administrative support needs. The Assistant Director will be a critical part of the FSS management team, managing a group of faculty assistants, working directly with them and the faculty they support. The Assistant Director will serve as a trusted advisor to faculty on ways to effectively work with their support staff and will work closely with other departments within HLS Administrative Services.  

Position Description

As an Assistant Director you will: 

  • Work with Director on office and support assignments, monitor workloads, identify problems, suggest solutions, and work with leadership team to revise pairings as needed.  
  • Work closely with Human Resources on recruitment, onboarding, development, and retention of faculty assistants. Train new assistants and hold regular check-ins to provide ongoing skills training and coaching. Work with Director and HR on staff transitions.  Maintain and analyze related data to identify opportunities for improvement. 
  • Manage appropriate use of faculty assistant pcard and department card charges consistent with financial policies and procedures. Serve as the point of contact for initial financial training, inquiries, and problem-solving.  
  • Work with faculty assistants and faculty to plan for coverage during time off as needed. Monitors time keeping, over-time requests and absences. Approve weekly time in system. 
  • With leadership team, build a culture of inclusion and collective problem-solving; identify team building opportunities; encourage and organize community building events.  
  • Help to develop communication strategies. Create and manage content for the website and training materials.  
  • Take the lead on one or more key FSS department responsibilities e.g., Conference or Event planning; Clerkships; Web updates; Financial and TF/RA approvals. 

Basic Qualifications

Bachelor’s degree required and 5 years of relevant experience, preferably in a service delivery environment dealing with a demanding customer base.

  • Strong proficiency in financial and technical applications such as Concur, B2P, 0365, and Adobe; willingness to serve as a training resource to others

  • Good analytical and creative problem-solving skills  
  • Commitment to customer service excellence
