Job Summary

Big Sandy Community & Technical College is seeking a CARES Center Grant Department Assistant to provide comprehensive administrative support for BSCTC’s Rural Postsecondary Economic Development project, a multi-year federal grant project and project management team. Responsibilities include maintaining files, tracking expenses, performing reception duties, and managing communication channels. This role is essential for ensuring smooth operations, effective record-keeping, and adept communication. Strong proficiency in technology, particularly in Excel, is necessary to track expenses and student data accurately and efficiently. The successful candidate will demonstrate a warm and welcoming demeanor toward students and others while executing the tasks of the position with excellence.

Job Duties:

• Provide administrative support for BSCTC’s Rural Postsecondary Economic Development
project, under the supervision of the Coordinator, including calendar management, general
scheduling, managing communication channels, maintaining organized files, creating
meeting agendas, keeping minutes of meetings, and other communication.

• Assist in making supply and equipment purchases from the grant budget, prepare travel
requisitions, reconcile budget monthly in accordance with college, KCTCS and grant
guidelines.


• Provide customer service by phone, in person, greeting students as part of Welcome Team,
assist in scheduling appointments and support CARES Center events and activities.


• Provide logistical and material support for events related to the project (scheduling, print
materials, ordering supplies, food, registration, presentations, flyers, and other items for the
CARES Center.

Minimum Qualifications:

Associate Degree in Business Administration, Education, Management, Human Services, or related field with two years related experience or equivalent.  

Preferred Qualifications:

Additional Skills Requested:

• Proficient in Microsoft Office suite including Word, Excel and PowerPoint.


• Advanced knowledge of Excel functions, formulas, and features such as pivot tables, data validation, and conditional       formatting.


• Strong focus on accuracy and precision in data entry, ensuring that all information is recorded correctly.


• Capability to organize and structure data effectively in Excel spreadsheets to facilitate easy retrieval and analysis.


• Exceptional customer service skills for a fast-paced diverse environment.
