Job Summary
Located at the Main Campus, this position will be responsible for leading and organizing multiple targeted CRM programs through direct mail and email to drive enrollment and increase enrollment and retention. The CRM Enrollment Specialist with work alongside the Coordinators of New Student Enrollment on recruitment strategies through the development of written communication through the CRM database. The CRM Enrollment Specialist will be responsible for the development of targeted marketing messages for specific programs and targeted student populations. This position will be responsible to create and maintain a communication calendar that aligns with college events and enrollment goals.  In addition, he/she will also conduct recruiting activities in selected areas as necessary. They will assist prospective students and the parents in their transition to Rock Valley College. The CRM Enrollment Specialist will have recruitment goals to focus on developing and implementing recruitment and marketing strategies designed to meet the needs of the adult population and nontraditional students. The CRM Enrollment Specialist will be evaluated on the implementation of communication strategies in all CRM channels: Email, SMS, Phone Calls, etc. You will also support the Enrollment Team in delivering a student – centered approach to college.

Essential Duties and Responsibilities include the following. Related duties may be assigned.
  • Support the Enrollment Team to create a cohesive and coordinated messaging strategy across all channels. Ensure also that all channels content strategy aligns with the colleges’ goals and strategic plan.
  • Build dashboards & develop reports to analyze and share campaign performances
  • Organize the integration and development of new processes to add additional channels to the program in-line with email strategy.
  • Propose and execute a CRM testing roadmap to optimize impact of key campaigns and touchpoints, to increase college Enrollment and Retention efforts.
  • Own the development of emails and journey map to support new and existing campaigns
  • Subject matter expert on executing within Salesforce Marketing Cloud
  • Find solutions to issues that arise when features do not work as intended. Work with the team to seek out the answer, work-around, or an alternate solution to fulfil the feature request to the team’s satisfaction.
  • Conduct themselves in a professional manner and hold true the core values of Rock Valley College and collaborate with others.
  • Develop, manage and maintain contact with schools and appropriate community agencies to reach prospective students.
  • Track students through the admission funnel to ensure communication of necessary steps to enroll at RVC.
  • Provide feedback and detailed reports on any recruitment activities weekly, daily, monthly.
  • Work together with colleagues to communicate and execute best practices in territory communication.
  • Coordinate recruitment activities including outreach efforts, campus visits, presentations to large and small groups, etc.
  • Demonstrate and possess a strong understanding of cultural competency, and how to communicate effectively to different audiences.
  • Provide support for any student support initiative on or off campus to recruit and retain students at RVC.
  • Ensure all students in assigned territory are aware of deadlines, application procedures, and financial aid eligibility criteria.
  • Assist in analyzing application and enrollment trends to proactively respond and adjust territory recruitment strategies.
  • Assist Academic & Career Advising during peak times by advising new students.    
  • May be asked to advise targeted programs upon request.
  • Make referrals to students for career advising, academic advising, and/or personal counseling.
  • Understand FAFSA deadlines, process, procedures, and changes in order to accurately advise students.
  • Collaborate with Student Support Service departments to accomplish enrollment goals of the college.
  • Lead in the development of recruitment initiatives in region to be conducted with schools and individual one-on-one meetings throughout the year to discuss the Getting Started steps.
  • Independently schedule and deliver presentations at area schools, businesses, libraries and social service agencies as assigned.
  • Conduct outreach to prospective students and families using telephone and other current technologies.
  • Communicate and respond to student inquiries in a timely manner.
  • Meet with prospective students and families to help them get started at RVC.
  • Assist in the development and implementation of recruitment plans, based on data analysis and integrated with marketing strategies for the college.
  • Assist in the coordination of timely tele-counseling efforts to all student groups.
  • Maintain student confidentiality and adhere to FERPA regulations.
  • Maintain knowledge of current research information related to traditional learner needs and trends and share information learned with the Enrollment Services team.
  • Maintain on a daily bases the college’s database systems.  
  • Special projects as assigned by the Manager of New Student Enrollment, the Dean of Enrollment Services, and the V.P. of Student Affairs.
  • Evening and weekend work will be required.
  • Serve on RVC committees as needed.
  • Perform other duties as assigned by the Manager of New Student Enrollment, the Dean of Enrollment Services, and the V.P. of Student Affairs.
  • Regular attendance is expected.
  • Using tact and courtesy, the ability to establish and maintain effective relationships with persons contacted in the course of work

Minimum Qualifications
Bachelor’s degree required.  Must have a valid driver’s license.  Demonstrate strong oral and written communications skills.  Experience with Microsoft Office Suite, College Database systems and other PC applications.  Knowledge of data collection and analysis.  Ability to work in a team setting.  Ability and skill to work with diverse students, faculty, and staff.  Experience working in a community college setting preferred.  Experience in admissions/recruiting, social services, higher education or equivalent work, and knowledge of local high schools and community organizations preferred. Demonstrated ability to work with diverse students, faculty and staff is necessary.  Bi-lingual proficiency (Spanish) is highly desirable.
