Job Summary

The Department Administrator for the Department of Philosophy serves as the administrative, financial, programmatic, facility, and human resources director for a complex and expanding department that supports significant student activities and academic collaborations, as well as provides oversight for the management of the departmental Robbins Library. This position reports to the Administrative Dean for the Arts & Humanities Division, with a dotted line to the chair of the department. This position also works closely with department leadership including the Director of Graduate Studies, Director and Associate Director of Undergraduate Studies, and Program Director for the joint FAS/SEAS Embedded EthiCS program to implement and/or administer academic programs and related activities, and supervises a team of 4 FTEs.

Position Description

Advisor to Chair: Counsel/advise the Chair of the Department of Philosophy on policies and procedures related to teaching faculty on academic and administrative policies, and serve as primary source of policy information for faculty and staff. Coordinate faculty searches and tenure reviews. In consultation with chair, prepare faculty meeting agenda, and prepare reports, interpret, analyze and present data and recommendations for the Chair and the department. Attend, write minutes, and execute follow-ups from faculty meetings; lead miscellaneous tasks, such as responding to surveys and provide data and support for the chair and other faculty members as needed.

Departmental Management: Create and administer departmental administrative systems, practices, policies and procedures that span and satisfy the requirements of FAS.

Divisional Support: Serve as the senior administrative contact for Philosophy for answering inquiries, complaints, and/or resolving problems for faculty, students, and staff across Harvard; serve as the liaison with the academic and administrative deans offices, as well as GSAS, the Undergraduate Dean's Office, IT and Education Support Services, the International Office, payroll, finance, human resources, the Office for Physical Resources and Planning, and others concerning teaching/faculty appointments, finance, and general administrative management.

Financial: Oversee and be fully accountable for all financial operations, including setting and managing budgets, forecasting expenditures, and approving purchases, faculty and student reimbursements, and honoraria. Holds fiduciary responsibility for the department’s 25+ gift and endowment funds; advises on spending for department-related programs/initiatives and student fellowships; administers department grants; prepares yearly budgets and spending forecasts; approves all department payments and responsible for resolving discrepancy, and serves as point-of-contact for all financial and operational policies and procedures for the department.

Faculty Affairs: Oversees all procedures related to faculty searches, promotions, and coordination of faculty and teaching appointments, including working with Faculty Affairs, and the Harvard International Office, as necessary.

Human Resources: Responsible for the strategic recruitment, hiring, training, performance management and professional development of 4 FTES, TAs/TFs/RAs and student workers, and other employees from time to time. 

Events Planning: Oversees staff who plans, coordinates the logistics for, and oversees all conferences and other special events organized on behalf of the faculty.

Basic Qualifications

  • Bachelor’s degree, or equivalent combination of relevant education and experience required. 
  • Five or more years of progressively responsible administrative and managerial experience, preferably in higher education.

Additional Qualifications and Skills

  • Strong quantitative, analytical and supervisory capability.
  • Effective interpersonal and written communication skills and ability to work with all constituents with tact and discretion.
  • Ability to balance shifting priorities and to work independently without supervision.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
