Position Description:

The Deposit Operations Manager is responsible for the planning and management of the daily functions of the Deposit Operations areas including ACH processing, statement processing, deposit tax forms, check processing, CO-OP Shared Branching, interoffice/US mail, mail transactions, returned mail, mobile check deposits, processing all levies, back-up withholding, FedNow/RTP and overdraft privilege. This position reports to the VP of Operations & Applications.
 

Job Functions: 

  • Manages Deposit Operations team. Provides leadership and direction with an emphasis on professional development and team building, maintaining a positive and engaging work environment. 
  • Hires, coaches, disciplines and terminates staff and temps in coordination with senior management. Determines proper staffing levels.
  • Responsible for the daily posting of ACH and Inclearing files including working the exception lists, pay/no pay decisions, posting to members' accounts, balancing files, and abiding by National Automated Clearing House Association (NACHA) rules. Obtains and remains current with ACH timeframes and regulations, as well as returned item processes. Assures adherence to all ACH rules and regulations.
  • Maintains controls and procedures, and develops training plans to ensure efficient operations while managing risk. Develops, implements, and monitors process of instituting regulatory requirements as it affects Credit Union policies and procedures. Ensures compliance with state and federal banking regulations. 
  • Collaborates with internal departments on projects, upgrades, training and resolving problems and/or concerns. Helps to resolve escalated complex issues and problems, both internal and external.
  • Committed member of the management team. Comfortable displaying the values and visions of Harvard FCU. 
  • Responsible for the compliance and daily operations of the ODP program.
  • Maintains strong business relationships with third-party vendors to achieve business goals.
  • Ensures timely mailing of member notices (address changes, certificate maturity notices, etc.) and retrieves US mail. 
  • Responsible for accurate tax reporting on all non-IRA deposit products.
  • Works with Collections to charge off deposit accounts as needed.
  • Responsible for the organizational unclaimed property and escheatment process, ensuring that it meets all regulations. 
  • Prepares Operations metrics reports to meet compliance requirements or as requested. Prepares and ensures accuracy of periodic ACH board reports.
  • Prepares for, and participates in, all Operations-related audits including Massachusetts Division of Banks, NCUA, CUNA Mutual, NEACH, and accounting firms contracted by the Credit Union. 
  • Responsible for balancing and monitoring all associated general ledger accounts. Works with Finance to resolve problems or outstanding entries in a timely manner (ACH, Checking, and Shared Branchings). 
  • Identifies and implements electronic and/or automated work processes, products and services to reduce operating expenses and provide a better member experience.
  • Leads department in preventing and addressing fraud; collaborates across the organization to enhance fraud prevention and response efforts.
  • Develops and implements policies and procedures related to commercial deposit accounts and FedNow/RTP.
  • Reviews and coordinates website and forms updates. 
  • Performs other job-related duties and planning assignments as necessary.

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 3 years’ relevant work experience

Additional Qualifications and Skills

  • A minimum of seven years banking and/or credit union experience required.
  • A minimum of five years deposit operations experience required.
  • The ability to effectively communicate with technical and non-technical staff at all levels of the organization. 
  • A solid understanding of state and federal banking statutes and compliance requirements. 
  • Accredited ACH Professional (AAP) Certification and National Check Professional (NCP) Certification preferred. 
  • Excellent leadership, planning, interpersonal and communication skills. 
  • Highly motivated and able to work with a high degree of autonomy. 
  • Comfort working and engaging in a diverse and multicultural environment.

     

Physical Requirements

Ability to move physical files (up to a maximum of 25 pounds) and retrieve US mail. 

Working Conditions

Work is performed in an office setting.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
