Position Summary



The University of Southern Indiana is accepting applications for Enrollment Support Associate.



The Enrollment Support Associate provides high-level administrative support and manages special projects for the Executive Director for Enrollment. The Enrollment Support Associate also assists and supports comprehensive enrollment processes and other initiatives designed to increase new student enrollment operations, and administrative details concerning Undergraduate Admissions and New Student & Transitional Programs Offices. The Enrollment Support Associate will also serve the needs of prospective students through a range of recruitment and new student onboarding activities. Manage and process targeted prospective student populations to articulate institutional offerings, processes and procedures.







Duties/Responsibilities 

  • Assist with creating multi-channel campaigns to deliver communications (print, email, SMS, web) to prospective students designed to increase enrollment.

  • Assist with training and guidance to student workers, interns, and graduate assistants as needed.

  • Provide high-level administrative support to the Executive Director for Enrollment with the coordination of staff assignments, operations, and administrative details.

  • Plan and coordinate special programs, dinners, and other special events for the university in collaboration with the Executive Director for Enrollment. May attend special evening activities.

  • Coordinate travel arrangements and reimbursement of expenses for the Executive Director for Enrollment. Prepare and review travel requests and reimbursement vouchers for reporting departments, monitoring related budget limits.

  • Assist in budgetary preparation of current budget; maintain monthly budget analysis. Monitor expenses, reconcile credit card payments and generate purchase orders.

  • Provide administrative, budget and project support to Undergraduate Admissions and New Student & Transitional Programs Offices.

  • Actively participate in regular meetings with contracted agencies hired to assist with student recruitment and enrollment strategies.

  • Coordinate the appeal process for admission decisions as well as for residency appeals and compile all required documentation

  • Work collaboratively with Undergraduate Admissions, New Student and Transitional Programs, Student Financial Assistance, Registrar's Office, and other key stakeholders to create a seamless transition from application through enrollment and registration process.

  • Work with and assist students in completing on-line applications and program-specific applications, and in completing related enrollment procedures and registration activities to include new student orientation.

  • Assist with the input and updating of prospective student information to Banner and Slate CRM. Occasionally contact students directly to determine whether inquiry and application contact information is duplicative.

  • Assist with data entry of admission inquiries, applications, transcripts, imports/exports, and document scanning during high volume periods.

  • Provide students, faculty, and staff with information regarding the admission application process and transcripts as requested.

  • Manage and maintain the Undergraduate Admissions email account by responding to inquiries, directing and independently resolving various issues from prospective students, parents, secondary school personnel, community college personnel and vendors.

  • Assist with student enrollment and retention outreach initiatives as directed by the Executive Director for Enrollment.

  • Perform duties associated with scheduling, organizing events: including overseeing the production and distribution of materials, PowerPoint presentations, coordinating logistics, and serving as liaison to internal and external vendors.

  • Generate reports using data collected from various sources regarding new student enrollment and federal, state, and institutional financial assistance for various university committees and councils and/or Board of Trustees.

  • Generate reports to assist with the analysis of data that informs decision making.

  • Provide support related to the management and operation of the enrollment recruiting system and CRM as needed.

  • Other duties as assigned.






Required Knowledge and Skills

  • Associate degree or some college coursework.

  • Excellent customer service skills.

  • Proficient in Microsoft Office.

  • Ability to use communication tools (i.e., texting platform, CRM, social media).

  • Strong organizational and time management skills.

  • Ability to work under limited supervision and the ability to multitask.

  • Strong communication and interpersonal skills with attention to detail.

  • Ability to work with a variety of constituents, solve problems quickly and professionally, anticipate needs, and communicate proactively.

  • Understanding of how to prioritize competing demands and timelines is necessary.






Preferred Knowledge and Skills

  • Bachelor’s degree.

  • One year of office experience.






Regular Work Hours/Travel Requirements


  • Standard office hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Occasional irregular hours, including early mornings, evenings and/or weekends may be required during high volume periods and for large scale recruitment and new student enrollment events
  • Occasional overtime may be required.
