Job Summary

The Department of Organismic and Evolutionary Biology (OEB) seeks a proactive and experienced Events Coordinator to organize and execute the department’s event programming under the direction of the executive director and other administrative staff within OEB, and in coordination with affiliated institutions including the Museum of Comparative Zoology (MCZ) and the Harvard University Herbaria (HUH).

Position Description

As our Events Coordinator, you'll be the heartbeat of our dynamic events, driving timelines and keeping our department's events calendar buzzing with excitement. You'll be the mastermind behind securing captivating venues, coordinating seamless logistics, and ensuring our esteemed speakers feel welcomed and well-cared for. Your proactive approach will be key in anticipating the needs of our guests, and your role as a liaison will bridge connections between faculty, departments, and a myriad of university and external contacts. You'll also lend your expertise to the creation of engaging event programs and materials, and manage the smooth running of virtual events, from Zoom setup to Q&A management. You'll also take the reins in coordinating several high-profile seminar and lectureship series, including the OEB Seminar Series, the intriguing Prather lectures in collaboration with the Molecular and Cellular Biology (MCB) department, and the Plant Biology Initiative’s annual symposium that's always a highlight of our calendar.

In addition, you'll work hand in hand with the OEB Diversity, Inclusion and Belonging (DIB) Committee members, supporting events and initiatives that champion diversity and inclusion. You'll also have the chance to flex your project management skills, overseeing or contributing to special projects as needed. This position is fully on-campus 5 days per week, immersing you in the heart of all the action.

Basic Qualifications

5 years of administrative experience with at least 2 years of events experience.  Education may count towards experience.

Additional Qualifications and Skills

Bachelor’s degree or relevant coursework in hospitality management; excellent organizational, interpersonal, and problem-solving skills; strong attention to detail, and the ability to work independently as well as part of a team; demonstrated project management, negotiation, and written & verbal communication skills; prior budgetary responsibility, as well as understanding of financial policy and transactions; a strong commitment to customer service. Experience working in an academic setting is highly desirable. Excellent ability to work collaboratively across teams. Excitement for planning and excuting events is essential.

Physical Requirements

Ability to lift/move at least 50 lbs. required (involves setting up and breaking down chairs, tables etc.).

Work Format Details

This position is based on-campus, in Massachusetts. This may include in-person during emergency situations (if applicable). Additional details will be discussed during the interview process.
