Job Summary

Performs a wide range of highly skilled administrative duties for Prof. Arthur Kleinman, faculty in the Social Anthropology Program in the Department of Anthropology. Executes, with proficiency, a broad range of technical systems in supporting teaching and research. Prepares materials for publications and/or grants. Prioritizes multiple tasks in a competing environment.

Position Description

Typical Duties

Manage Prof. Kleinman¿s calendar, including scheduling complex domestic, international and ground travel; setting up conference calls, adding all faculty meetings, committee meetings, individual and medical appointments, and student office hours.

Make restaurant reservations for business meetings, order catering, reserve meeting rooms, conduct doodle polls. Create travel itineraries.

Open, read and prioritize all correspondence (email and print) on a daily basis; answer all correspondence either by Prof. Kleinman¿s dictation or on his behalf.

Triage questions related to diverse activities involving research collaborations world-wide in Medical Anthropology

Triage questions/issues related to several grants for which Prof. Kleinman is the PI, with collaborators in US and China

Typing, editing and coordinating submission of all letters of recommendation for undergraduate and graduate students, alumni and researchers of the Medical Anthropology Program

Manuscripts and articles: typing, editing, proofreading, submitting to editors and publishers

Processes financial reimbursements, corporate card payments for Prof. Kleinman and researchers affiliated with Medical Anthropology

Hire and oversee student/temporary (and regular**) employees performing work for Dr. Kleinman¿s teaching and research

Research for course syllabi, course preparation, articles and book manuscripts. Prepare power point presentation slides for course lectures and invited talks

Manage grant applications, bio-sketch and cv updates

Coordinate compliance reporting ¿FAS Faculty Activity Reports, IRB documents, Copyright Agreements and Conflict of Interest Reporting for FAS and HMS GHSM

Records management, including paper and electronic filing and file creation; coordinate with University Archives for file transfers

Shelve and organize medical anthropology journals

Administer and advertise annual Joan Kleinman Travel Grant through GHSM, receive applications, distribute to committee, communicate with GHSM about awardees.

Basic Qualifications

Basic/Required Qualifications: A minimum of three years progressively responsive work experience in a comparable administrative environment.

Additional/Preferred Qualifications:

Bachelor's degree strongly preferred. The successful candidate will have superior organizational skills and a proven ability to effectively handle quickly changing priorities and adjust work flow accordingly, both as part of a team as well as independently with minimal supervision. Must have ability to multi-task, prioritize, and ask clarifying questions. Excellent oral, written, and interpersonal communication skills are necessary with a proven ability to forge strong, collaborative relationships. Strong customer service skills. Demonstrated experience organizing and completing assignments with accuracy amid interruptions; attention to detail is imperative. Proven ability to demonstrate critical judgment and to handle complex and confidential information with discretion is essential. Solid computer skills required. Demonstrated effectiveness in leading projects that cut across departments. Superior written, interpersonal, editing and communications skills.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
