Job Summary

Under Administrative direction provide human resources support for all employees served with the Units supported by Gies HR Partners. Serving as a point of contact, directing employee and unit requests. Triaging questions in the HR Help Desk inbox to the appropriate HR team member.

Duties & Responsibilities

  • HR Processing/Administration
    • HR Front-End processing for non-FTE positions, including but not limited to, Academic Hourly, Extra-Help, Students & Grads
    • Process HRFE separations including but not limited to, Academic Hourly, Extra-Help, Students & Grads.
    • Submit and manage appointments in the Engineering HR application portal including but not limited to, Academic Hourly, Extra-Help, students, & grads
    • Maintain overall files/systems that contain confidential and sensitive information, including but not limited to, electronic personnel and search files.
    • Maintain accurate employee records and new hire departure documentation •
    • Back-up SIE tracking
    • Complete the I-9 Employment Eligibility in Tracker I9 for hourly new hires and re-verifications for employees, ensuring adherence to campus and federal policies/regulations.
  • Search Support
    • Support hiring activities for non-FTE positions, including but not limited to Extra Help, Students & Grads; entering and managing requests via Asana, posting on student job board.
    • Under the direction of the HR Director, assist with student, Grad, Extra-help and Academic hourly hiring requests, including but not limited to processing I-9s, entering in HR application portal, HRFE processing and tracking appointments from beginning to end via Asana and or Excel
    • Assist in scheduling interviews for searches for full-time staff
  • Payroll Processing
    • Provides backup for the human resource functions for the bi¬weekly payroll, pay adjustments for the Civil Service staff…
    • Identify the need for pay adjustments/corrections and process accordingly.
  • Visa Processing
    • Assist with Visa processing, including but not limited to initiating request in iStart, communicating with the employee, unit, ISSS, external control and central campus.
  • Perform other HR-related duties as assigned

Minimum Qualifications

  • High school diploma or equivalent.
  • Any one or any combination totaling two (2) years (24 months) from the following categories below:
  • Course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
    • 30 semester hours equals one (1) year (12 months)
    • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
      90 semester hours equals two (2) years (24 months)
  • Progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.

Knowledge, Skills and Abilities

  • Strong organizational and time management skills. Strong interpersonal, oral, and written communication skills. Ability to manage competing priorities in a fast-paced environment with great attention to detail. Proven track record of customer service.

Appointment Information

This is a 100% full-time Civil Service 2135 - Human Resource Representative position, appointed on a 12-month basis. The expected start date is as soon as possible after 9/30/2024. The budgeted salary range for the position is $45,000 to $50,000. Sponsorship for work authorization is not available for this position.
