Human Resources Generalist ICampus Title: Human Resources Generalist IState Job Title: Staff AssociateDepartment: Human ResourcesJob Code: HA5310FLSA Status: ExemptFunding: 7115-0100Bargaining Unit: Non-Unit ProfessionalJob Type: Full-Time, PermanentTimeframe: 52 weeksShift: Monday-Friday, 9:00 am to 5:00 pmRegular Days Off: Saturday and SundaySupervision Received: The Human Resources Generalist I reports to the Director, Human Resources.Supervision Exercised: Supervises Graduate Assistants, Interns and Student workers.Salary: $62,520.00 to $65,520.00 (salary commensurate with education and experience)General Statement of Duties:The Human Resources Generalist I is responsible for performing HR-related duties on a professional level and works closely with HR management in supporting all HR functional areas. Demonstrates sensitivity to the campus community needs, employee goodwill, and operational needs. This position carries out responsibilities in the following functional areas: Hiring, Onboarding, Position Management, HR Event Management, Communications and data collection.Duties and Responsibilities:Duties include but not limited to:Essential:• Provides effective and efficient customer service, and provides administrative support to the Director or HR and department staff.• Responsible for the coordination of on-line hiring systems functions, including advertising and posting vacancies, reviewing job descriptions and requisitions for accuracy, approving and monitoring user accounts and access.• Trains and assists University staff in hiring procedures and Interview Exchange applicant tracking system as related to the hiring process; assists departments and search committees in developing and implementing advertising and recruitment strategies.• Works with job candidates and other human resources staff in support of hiring needs.• Compiles data for use in reports and statistical analyses related to the hiring process.• Interprets, advises, and answers questions related to Human Resources policies and hiring practices and procedures.• Supports managers in communicating and executing administrative process with the applicants (i.e., scheduling interviews, travel, relocation, mentorship, etc.).• Provides support and guidance to hiring managers, search committee chairs and members, including search training, interview techniques, data analysis, and diversity goals.• Ensures job posting and applicant tracking comply with state job specifications.• Conducts search committee training to ensure compliance with AA/EEO regulations, employment laws, collective bargaining policies and procedures, as well as University procedures.• Supports the HR Director in carrying out/performing the new employee onboarding program; specifically first day orientation.• With support from the HR Director, responsible for position management, including preparation of all paperwork; paperwork includes, but is not limited to, notification letter generation/distribution, reports of employment (appointment forms and termination forms); performing data entry into HR/CMS position screens; tracking positions; troubleshooting issues that arise with positions.• Reviews requisitions on Interview Exchange and Docu-sign to include verification of approval, appropriate funding source and banner code for the position, appropriate position number, previous incumbent, salary range based on what was approved, etc.• Finalizes new hire appointments in Interview Exchange; prints materials for personnel file; prepares internal appointment form for distribution as needed.• Initiates the online new hire onboarding packet to include new hire information, job description and appointment letter; Sets up new employee emails; Enters CORI and SORI background checks on new employees; Distributes national background check link via email.• Reports Quarterly University Employment Metrics to include retention and recruitment data along with updating and developing the dashboard.• Contributor to the development and distribution of all HR communications including the Human Resources Buzz newsletter.• Assists the Director of HR in the development and delivery of HR events; such as 60-day onboarding, 120-day onboarding, and employee recognition events.• Researches issues/troubleshooting.Job Requirements:Required Qualifications:• Associate's degree or in lieu of degree, 3 years of HR or similar work experience.• Ability to follow written and oral instructions.• Ability to gather information through questioning individuals and by examining records and documents.• Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence.• Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations.• Ability to maintain accurate records.• Ability to prepare general reports.• Ability to deal tactfully with others.• Ability to exercise discretion in handling confidential information.• Excellent verbal and written communication skills.• Ability to exercise sound judgment.• Ability to provide written and verbal instructions in a precise understandable manner.• Ability to work independently and without direct supervision.Preferred Qualifications:• Proficient in Excel• Higher-Ed experience• Experience in public speaking• Familiarity with marketing programs; Canva, Constant Contact and Visual.isAdditional Information:Salary:Salaries for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining agreements as well as state policies.
