Job Description:

The Institutional Advancement Specialist, working closely with members of the Office of Institutional Advancement, will support the growing needs of the department including database management, scheduling, grant writing, donor research, prospect development, event organization, staff campaigns, and donor stewardship support. This position works across departments to assist in moving fund development efforts forward.

Principle Duties:

Administrative

  • Provides daily administrative and project support for the Office of Institutional Advancement including planning and reservations for travel, ordering supplies and gifts, running errands, and performing basic bookkeeping work including expense reporting and processing departmental approved invoices for payment.
  • Manages multiple calendars for Office of Institutional Advancement team, scheduling appointments, makes reservations, creating meeting agendas, preparing notes, and corresponding materials.
  • Prepares and deposits donations made on campus.
  • Assists with file organization and photo storage.

Fund Development

  • Works closely with The Community Solution colleagues to maintain Blackbaud’s Raisers Edge for fund development purposes including documenting all donor/prospect interactions, creating reports, and tracking opportunities/proposals.
  • Produces monthly reports related to fundraising and engagement for the Office of Institutional Advancement.
  • Organizes and executes department mailings, thank you letters, invoices, and tax receipts, as needed.
  • Participates in fund development by identifying prospects and providing research, if applicable.
  • Assists with grant writing, proof reading, tracking, and post-award reporting.

Alumni Relations

  • Collaborates with VPIA and Students Today Alumni Tomorrow (STAT) to develop an annual engagement strategy to encourage strong alumni engagement.
  • Serves as the leader of all Students Today, Alumni Tomorrow (STAT) related activities including planning and executing events.
  • Handles work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact and diplomacy according to the practices and procedures of the organization.
  • Attends events and conferences as appropriate.
  • Additional duties may arise and be assigned as the institution continues to form.

Essential Knowledge, Skills, and Abilities:

  • Experience in fund development process; particularly written applications, grants, event planning, and alumni relations.
  • Excellent organizational, communication and interpersonal skills, with strong attention to detail.
  • Displays professional demeanor while managing multiple projects at once.
  • Ability to exercise discretion and maintain confidentiality of privileged information.
  • Self-starter willing to take initiative and work independently utilizing sound judgment and problem-solving skills.
  • Ability to manage professional and interpersonal relationships and interact effectively with diverse members of the institutional community and outside constituencies.

Position Qualifications

  • Bachelor's degree in business, communication, marketing, or related field.
  • Understanding and exposure to nonprofit, higher education, and/or healthcare disciplines strongly desired.
  • Knowledge of Blackbaud’s Raisers Edge software preferred.
  • Experience in prospect development and research.
  • High level of proficiency in Microsoft Suite (Outlook, Excel, PowerPoint, Word) and Adobe products (Acrobat, Flash, Reader, etc.), Experience with Raisers Edge preferred.
  • Excellent written and verbal communication and comprehension skills; proof reading and consolidation of information and editing required.
