The purpose of this position is to enter all changes to employee payroll records, process payroll and payroll related reports, and help maintain payroll/personnel files.

ESSENTIAL FUNCTIONS

  1. Enter changes in payroll/personnel system to taxes, deductions, benefits and leave taken.
  2. Reviews temporary, institutional, and college work-study electronic timesheets in self-service banner for errors . After all corrections are made, approve and submit timesheets for processing.
  3. Calculates and enters overtime hours on facility service employees and comp time hours on clerical/support employees.
  4. Reviews adjunct faculty spreadsheet each semester.
  5. Check trial payroll reports for accuracy.
  6. Save all reports on the Payroll share drive and backup disks.
  7. Process and print deduction registers and email direct deposit notifications.
  8. Prepare W-2 forms and processes 941 reports each quarter for account clerk.
  9. Help review PPACA Report for accuracy and prepare1095C forms.
  10. Serves as backup to Payroll Supervisor/Accountant for updating Edison system with new hire information and balances Edison Collections and Applied Reports to Payroll deductions each month.
  11. Process all end of month reports after payrolls are processed and balance to payroll.
  12. Process and balance quarterly employment reports.
  13. Pull, review, and enter accounting information in spreadsheet for President’s quarterly expenditures.
  14. Serves as backup to Payroll Supervisor/Accountant for uploading files to the state and retirement/disability vendors.
  15. Prepare and maintain spreadsheets for Associate VP Business Services.

SUPPLEMENTAL FUNCTIONS

  1. Work with personnel in maintaining payroll/personnel files.
  2. Assist other Business Services employees as needed.
  3. Other duties as assigned.

JOB SPECIFICATIONS

      EDUCATION, TRAINING AND EXPERIENCE REQUIRED

  1. High school diploma or equivalent.
  2. One year payroll experience or one year college accounting required. Or, an equivalent combination of related education and experience.
  3. Experience or training in Excel and Word.

EDUCATION, TRAINING AND EXPERIENCE REQUIRED

  1. Associate Degree in Accounting Preferred.

KNOWLEDGE, SKILLS, ABILITIES AND WORKER CHARACTERISTICS

  1. Knowledge of payroll policies and procedures.
  2. Experience with computerized accounting and payrolls systems.
  3. Ability to analyze financial documents.
  4. Organization skills.
  5. Ability to work and communicate with a diverse customer base.
  6. Ability to work as part of a team or work alone.
  7. Ability to work individually without close supervision.
  8. Ability to communicate effectively, both written and orally.

WORKING CONDITIONS

  1. Normal standing, sitting and walking.
  2. Some lifting of approximately 30 lbs.
  3. Work with video display.

Hiring Salary Range: $32,000- $38,400

This position is based at the Columbia, TN Campus.
