Come care with us at West Coast University! The Student Account Specialist is responsible for all campus collection and billing efforts. This role works directly with students to ensure timely collection of payments during their attendance at West Coast University and is responsible for achieving strict collection metrics. This role also provides monthly student billing statements and processes all payments received at the campus. The Student Account Specialist also provides billing statements to students receiving tuition reimbursement. Independent thought and judgement are required as well as personal initiative and mastery of collections standards in completing required and assigned tasks.

You will make an impact by: 

  • Serves as the primary campus contact regarding student ledger accounts, tuition and fee billing and collections. Responds to inquiries from students, families, external vendors, and other University departments regarding student accounts, program costs, business office policy and procedures, and services offered to students.
  • Performs student billing and collection activities. Issues receipts. Maintains documentation of billing and collection activities in student electronic files in Campus Vue and Image Now.
  • Tracks and monitors student accounts in Campus Vue software and performs appropriate outreach to students regarding balances due and University collection policies.
  • Verifies and transmits campus credit card reimbursement requests.
  • Empties University-operated copier or vending machines and prepares bank deposits for funds received.
  • Accepts and posts payments for student accounts and miscellaneous charges, and prepares deposit of checks, money orders, etc. for daily electronic banking deposits and maintains appropriate documentation of same.
  • Processes and reconciles credit card payments and submits documentation of same to university accounting office.
  • Collaborates with colleagues in other departments and external agencies to resolve student issues or concerns regarding student accounts.
  • Audits student accounts for accuracy, reviews accounts of upcoming graduates, and utilizes transcript, registration, and other "holds" on student records.

Your Experience Includes:

  • 3+ years of experience in a customer service or collections role.
  • At least one year of experience in a student services role at a college or university.
  • Requires basic knowledge of standards and processes for account collections and customer service.

Education:

  • High school diploma required. Experienced candidates will be considered without a degree provided they have more than 3 years of collections and customer service experience.
  • Bachelor's degree from an accredited College or University is preferred.
