Position: KHSC-KansasCOM Student Activities Specialist

Reports To: Assistant Dean for Student Affairs

Status: Exempt

Summary: The Student Activities Specialist plays a key leadership position in support of the Assistant Dean of Student Affairs by assists with the coordination of student events and activities, supports student programming needs, collects and preserves data on student events and outcomes, and supports administrative responsibilities within the department of Student Affairs and Services. The Student Activities Specialist is a versatile practitioner who works to uphold student success and wellbeing.

Essential Duties and Responsibilities:

  • Serves as the primary manager and SuperUser for event/organization management software.
  • Student Clubs, Organizations, & Leadership
    • Responsible for developing all new and existing student organizations, including oversight of the new organization's application and selection process.
    • Provide direct oversight and support for all student organizations on-campus.
    • Plays key leadership role in working with student organizations, including but not limited to, the KansasCOM Student Government Association (SGA), national honorary societies, national medical organizations, etc.
    • Provides oversight for all student organization budgets.
    • Implements annual training for all clubs and organizations.
    • Support the Student Affairs Manager with the implementation of the Peer Mentor Program
    • Plays leadership role in working with students to design and coordinate educational, community and social focused events both on- and off-campus.
  • Diversity, Equity, and Inclusion Efforts
    • Provide support to the Culture Committee.
    • Explore introduction of an interfaith/spiritual space.
    • Remain up to date on best practices for medical students.
  • Coordinate and solicit collaboration to distribute a weekly newsletter to students of events, activities, and reminders.
  • Manage Yodeck to provide accurate and up to date information on televisions around campus.
  • Coordinates assignment and distribution of lockers to students.
  • Provide oversight for study space reservations.
  • Assists in designing and implementing student affairs sponsored community service and early clinical experiences where students, faculty, and staff are serving within the Wichita community.
  • Works with the Student Affairs team to provide administrative support of student record- keeping, maintenance of campus spaces and campus equipment.
  • Represent KHSU-KansasCOM favorably and in accordance with established values and expectations.
  • Perform other duties as assigned or directed to meet the goals and objectives of the organization

Supportive Functions:

  • Other administrative tasks (i.e., filing, preparing documentation).
  • Participate in developing department goals, objectives, and systems.
  • Actively participate in team and KansasCOM meetings.

Qualifications:

  • Bachelor’s degree required, Master’s degree preferred and/or experience in higher/medical education valued.
  • Experience in higher education, public relations, communications, student affairs, event planning, and/or medical sciences preferred.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills.
  • Must possess the ability to work in a team focused environment, be self-motivated, self- disciplined, and able to function at an optimal level with excellent follow-through.
  • Requires the ability to serve the medical school and its students in a professional, caring, and effective manner.
  • Excellent high level of proficiency with Microsoft Office applications.

Physical Requirements:

  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead.
  • Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting.
  • Ability to continuously operate a personal computer for extended periods of time (4 or more hours).
  • Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions.
