Job Summary

Harvard Law School’s Faculty Support Services Department (FSS) is dedicated to providing approximately 200 faculty members and instructors with the high-quality assistance they need in order to successfully teach, conduct research, and advance scholarship. This role will support other assistants who work directly with members of the faculty. Our department comprises a collaborative and supportive team of assistants who are committed to collecting and sharing the most effective methods of administrative support. 

Faculty Support Services seeks a Visiting Faculty Support Assistant who is able to fulfill this dual role as an independent problem-solver and enthusiastic team member. 

Position Description

As a Visiting Faculty Support Assistant you will: 

  • Provide support for visiting faculty and faculty assistants, which may include proofreading, editing, and transcribing documents; editing and processing letters of recommendation; compiling course materials and obtaining copyright; updating course websites; assembling seating charts and other materials for classes; and booking rooms and arranging catering and AV services.  
  • Assist with departmental projects, including collaborating with colleagues in other departments on faculty-related tasks, and regularly updating the departmental website. 
  • Use Concur, Oracle, and B2P (Buy-to-Pay) financial platforms to process payments, invoices, reimbursements, and corporate card statements for faculty and assistants; make domestic and international travel arrangements for faculty and visitors to the Law School.  
  • Assist the Assistant Director with visiting faculty on-boarding and off-boarding tasks including posting of signs and directories and preparing keys.
  • Perform general administrative duties including photocopying, scanning, filing, ordering office supplies, placing catering orders, and reserving space for meetings and events. 
  • Provide ad hoc support for faculty and classes, including assisting faculty in hiring student workers and providing IT check-ins for classes.  

Basic Qualifications

Minimum one year of administrative support or related experience in a business or customer service environment. Education beyond high school may count toward some, though not all, experience.
