Job Summary

The Visiting Undergraduate Student (VUS) and Admissions Coordinator will manage VUS operations, serve as the principal information source for current and prospective applicants, and liaise with other Harvard offices involved in the process. The position will also assist in processing I-20 forms to ensure incoming first-year international students obtain their visas for College attendance.

Position Description

  • Manages all aspects of VUS applications for two annual cycles, including setting the calendar.
  • Responds to prospective applicant and applicant inquiries, including via email and/or phone.
  • Maintains and updates the application in collaboration with colleagues; assigns applications to readers.
  • Drafts and updates communications to students; coordinates notification of admissions decisions.
  • Schedules, prepares materials, and attends admissions committee meetings; handles follow-up with applicants, universities, and recommenders, as applicable.
  • Builds and maintains relationships with universities.
  • Communicates with and processes I-20 paperwork for incoming international VUS, first- year, and/or transfer students who need a visa.
  • Coordinates and hosts webinars about the visa process for incoming VUS students.
  • Liaises with various campus partners regarding VUS student visas, matriculation, orientation, and advising.
  • Other duties as assigned or needed.

Basic Qualifications

  • 3+ years of work experience, education beyond high school may count towards experience.

Additional Qualifications and Skills

  • Bachelor's degree preferred.
  • Administrative experience in a customer service or operations-oriented office desirable.
  • Experience providing a high level of customer service to diverse populations.
  • Excellent organizational skills, including ability to prioritize work in an environment supporting multiple stakeholders.
  • Strong interpersonal and communication (verbal and written) skills.
  • Ability to work independently with minimal supervision and keep complex information confidential.
  • Proficiency with office productivity and collaboration tools.
  • Access to the Internet for remote work needed.

Physical Requirements

  • Work will require sitting, near vision use for reading and computer use for extended periods of time.

Working Conditions

  • This is a benefits eligible, part-time position, working 17.5 hours per week
  • Work may be performed primarily remotely, but will require in-person attendance for activities, such as new hire onboarding and fall staff orientation. (Note: The office does not reimburse employees for commuting/lodging expenses related to on-campus activities.)
  • Any remote work must be performed in a state in which Harvard is registered to do business (including, but not limited to, CT, MA, ME, NH, NY, NJ, RI, and VT).

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).
