Departmental Administrative Assistant

The American Job Centers (AJCs) assist customers in achieving self-sufficient, sustainable employment on a career path toward continued growth opportunities. The Career Advisor is responsible for administering the Workforce Innovation and Opportunity Act (WIOA) funded programs and services to include funding for postsecondary training opportunities, paid work experience, On-the-Job Training, and apprenticeships, and training programs administered to justice-involved individuals. This position requires collaboration with secondary schools, postsecondary institutions, employers and community agencies to access services on behalf of our program participants.
Duties and Responsibilities:
<ul>
<li>Recruit future Adult, Dislocated Worker and Youth participants who have barriers to employment, conduct orientation sessions explaining the WIOA programs and services, assessment process, participant responsibilities, follow-up services, and submit referrals to partner programs on behalf of customers.</li>
<li>Determine eligibility for program participants and counsel with participants on labor market information for their chosen career path to identify training needs of our customers.</li>
<li>Administer and / or schedule appropriate assessments, orientations, and workshops as needed.</li>
<li>Collaborate with the customer on the development of an Individualized Employment Plan (IEP) for each participant’s training and employment goals.</li>
<li>Collect all paperwork on WIOA participants, develop electronic files, and route necessary paperwork to the appropriate training provider.</li>
<li>Co-enroll Trade Adjustment Assistance (TAA) and Reemployment Services and Eligibility Assessment (RESEA) as required.</li>
<li>Make documented contact as appropriate with each participant during program participation to review the progress in meeting the objectives of the IEP, making changes if necessary.</li>
<li>Enter documentation of all contacts into VOS database within the ten-day timeliness policy.</li>
<li>Maintain and update electronic files of WIOA participants as needed.</li>
<li>Maintain consistent contact with participants to communicate progress and barriers with goals in the IEP.</li>
<li>Exit program participants upon completion of IEP goals.</li>
<li>Attend community functions to provide information on workforce services.</li>
<li>Submit monthly work experience timesheets and other reports as required on a timely basis.</li>
<li>Complete follow-up services for 12 months post exit from the WIOA programs.</li>
<li>Complete any corrective actions as required from monitoring to ensure all documentation is of high quality and meets federal, state, and local policies.</li>
<li>Participate in webinars and continuing education regarding WIOA policies and procedures.</li>
<li>Other duties as assigned.</li>
</ul>
Working Conditions:

Required Qualifications:

<li>Associate degree; Bachelor’s degree preferred.</li>
<li>Two years case management/social work or secondary school/higher education experience.</li>
<li>Proficient to Advanced Microsoft Office Skills (Word, Excel, Power Point, Outlook)</li>

Minimum starting pay is $33,500 annually ($17.18 per hour). With additional experience pay increases to a maximum pay of $41,900.

Title: Testing Technician II, Southeast Campus
POSITION SUMMARY Provides proctor services for exams and interprets placement test results. Upholds proctoring standards and rules for all tests conducted.
ESSENTIAL JOB FUNCTIONS/ JOB DUTIES AND RESPONSIBILITIES Completes annual proctor certification exams. Proctors online and conventional pen/paper tests. Interprets and implements vendor test protocols for students. Maintains surveillance of testing labs to ensure there are no violations of student guidelines. Coordinates with the Access Center accommodated testing space and proctor availability. Facilitates approved student accommodations in the Testing Center. Verifies accommodated student appointment in the AIM system. Builds appointment in Register Blast system.
Updates and maintains an appropriate manual of test procedure guidelines and passwords. Interprets placement test results for individuals and appropriate departments. Maintains security and accountability of tests. Processes, documents and reports testing irregularities and incidents to supervisors. Communicates necessary testing guidelines and information to examinees. Serves as a liaison between the Online Learning Office and the Testing Center. Collects, coordinates, and distributes web test materials to the main campus and to all College Testing Centers. Prepares detailed correspondence regarding proctoring requirements for various programs and vendors.
Provides focused customer service to students, faculty, administration and the public. Enters Accuplacer scores into the College’s Banner system. Assists with training of new employees to the department. May act in a supervisory capacity in the absence of the Assistant Director. Travels to other locations to proctor exams as needed. Oversees specific clerical duties. Complies College and Tennessee Board of Regents’ policies and guidelines. Performs other duties as assigned.
