The Assistant Building Manager reports to the Director of Building Planning and Operations. They will assist in managing building operations, services and building infrastructure projects, (such as small HVAC and MEP projects, space renovations, coordination of office moves, and purchase of furniture), for the smooth operation of a large building or small group of buildings.&nbsp;&nbsp;Position Description<ul><li>Manages, coordinates and schedules small to mid-size projects and renovations as assigned.<ul><li>Oversees the workflow of subcontractors involved in small to mid-size projects and renovations.</li><li>Manages contracts including writing, bidding and awarding and managing budgets and timeline.</li><li>Reviews, packages and processes submittals and shop drawings.</li><li>Tracks and updates subcontractor change order requests, site drawings, RFI’s and COR’s.</li><li>Prepares project closeouts and manages meeting minutes.</li></ul></li><li>Works with the Director to implement any sustainability initiative and actively participates in the greenhouse gas and energy reduction efforts and goals.</li><li>Assists the Director to develop long term building equipment and aesthetic maintenance plan. Maintains the deferred maintenance database.</li><li>Assists the Director in developing and maintaining all building related preventive maintenance, project budget, bill coding, and general building-related financial work.</li><li>Oversees and/or coordinates maintenance/repair work assignments performed by technicians, vendors, and contractors performing building maintenance.</li><li>Responds to client inquiries and concerns. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.</li><li>May coordinate and manage move, add, and change activities.</li><li>Manages vendor relationships.&nbsp;Processes invoices and ensures proper cost center coding.&nbsp; Reviews periodic reports including financials and explains variances. Works with the finance team to correct errors.</li><li>Develops and maintains positive relationships with the greater facilities and operations team. Supervises, manages, and assigns tasks to direct reports responsible for HVAC, electrical, plumbing, fire / life safety, elevators, generators, and other systems that support research. Ensures all systems are in full compliance with Federal, State, and Local, and University standards. Supervises all outside maintenance contractors who perform daily maintenance/repairs on campus. Directs contractors as required to provide continuous service of mechanical and Life Safety Systems.</li><li>Coordinates trades and service providers for the day-to-day mechanical, preventative maintenance, structural repairs, and customer requests. Manage and monitor related projects, as well as the Work Request System, to ensure optimal performance and utilization of resources.</li><li>Analyzes data and analysis and assists in developing preventative maintenance programs to maximize efficiencies in these areas. This includes working with KGS and using their data from ongoing enhanced commissioning to make sure systems are running optimally to support research and help in meeting University sustainability goals. This includes upkeep of Accruent/VFA database and assessment of building.</li><li>Assists in the management of all Environmental Health and Safety issues, including but not limited to, confined space inventory, cfc management, spill containment, mold and asbestos monitoring and abatement, etc. This also includes compliance and assistance with Lab Ventilation Management Plan.</li><li>Schedules and oversees all overtime projects performed by in-house trades and contracted personnel.</li><li>In coordination with Manager of Facilities Operations, works with WSP on initial building commissioning and continued ongoing commissioning of building during construction, and after occupancy.</li><li>In conjunction with Manager of Facilities Operations, supervises procurement of all services, parts, and equipment for Facilities group. Maintains parts and equipment inventory and stocks emergency equipment closets on campus.</li><li>Assists in administration and enhancements of the SEAS Computer Aided Facility Management (CAFM) system. Ensures that trades staff use CAFM in the completion of their daily duties.
